What we collect
- Enquiry & booking data: name, email, phone number, & anything you tell us when you get in touch or book a call.
- Client data: financial records, business information, & identity documents necessary to provide bookkeeping & accountancy services, once you become a client.
Why we collect it, & our legal basis
- To respond to enquiries & arrange calls: legitimate interest.
- To provide contracted bookkeeping/accountancy services: contract.
- To meet anti-money laundering & tax obligations: legal obligation.
Who we share it with
- Software providers necessary to deliver our service: Xero, QuickBooks Online, Client Engager, Xama, Xenon, Microsoft, & our website hosting provider.
- AI-powered tools used to support bookkeeping & administrative tasks, handled with appropriate data protection safeguards in place.
- HMRC, where required by law.
- We do not sell your data, ever, to anyone.
How long we keep it
Client financial records are kept for 6 years after the end of the engagement. Enquiry data that doesn’t become a client relationship is kept for 12 months then deleted.
Your rights
Under UK GDPR you have the right to access, correct, delete, or restrict use of your personal data, & to complain to the Information Commissioner’s Office (ICO) if you think we’ve got something wrong. Contact us at Data@burtland.co.uk for any of these requests.
